Administrative Coordinator

The Wellness Department is seeking a highly organized and detail-oriented Administrative Coordinator to manage the day-to-day operations of our wellness programs. In this role, you will handle tasks such as invoice processing, managing the Wellness email inbox, coordinating events, overseeing our onsite fitness center and health clinic, and supporting various department projects. Working closely with the Wellness Marketing Specialist, you will help execute wellness initiatives and contribute creative ideas to enhance program offerings. The ideal candidate is proficient in Microsoft Office, an excellent communicator, and eager to learn new skills. This position reports to the Wellness and Total Rewards Manager.

Job Summary:

  • Handle invoice processing for all wellness-related expenses.

  • Manage the day-to-day operations of the corporate fitness center including coordinating and scheduling fitness trainers.

  • Plan, schedule, and execute events such as basketball tournaments, softball tournament, company-wide Active Week, CPR training, and wellness screenings.

  • Assist in developing and managing the team member incentive program to encourage participation and engagement.

  • Organize and lead wellness webinars or provide assistance as needed.

  • Partner with the Wellness Marketing Specialist for brainstorming sessions and idea generation for wellness initiatives.

  • Support other wellness-related projects as assigned.

Qualifications:

  • 1-2 years in an administrative role or similar.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication.

  • Ability to work collaboratively and independently.

  • Proficiency in Microsoft Office.

  • Must be a self-starter.

  • Must be able to work 40 hours per week and have reliable transportation.

  • Must be flexible to work occasional nights for events after standard work hours.

  • A passion for health and wellness is a plus.
